Basis and purpose of personal data processing

The basis for processing personal data is the agreement between the controller and the customer, as well as the fulfillment of legal obligations (e.g., the Accounting Act). 

As the housing company has a contractual relationship with Fluxio Isännöinti, we need the personal data of residents/shareholders in order to provide property management services and other housing services in the housing company in accordance with our contract. 

Personal data is needed, among other things, to identify our customers when they visit our property management company or use our electronic services. We also use personal data for monitoring housing company fees and rents, collecting receivables, informing residents, and arranging services purchased for the housing company. In addition, data may be processed when monitoring the interests of the property management company and the housing company.

We also collect customer feedback and handle complaints so that we can develop our services and improve customer satisfaction. 

Fluxio Isännöinti Oy may also collect information about potential customers for sales and marketing purposes. The information collected may be used for customer surveys, direct marketing, and other marketing activities. In such cases, the basis for processing is legitimate interest or the consent of the data subject.

Data content of registers

Fluxio Isännöinti Oy stores personal data in customer registers. Our customer registers may contain the following personal data about the residents and shareholders of the housing companies we manage:

  • housing association information
  • apartment details
  • first and last names of the people living in the apartment
  • personal identification numbers, when necessary for the identification of individuals
  • email addresses
  • telephone numbers
  • move-in and move-out dates

In addition, housing company-specific registers may contain personal data related to, for example, camera or access control, for which the more detailed data content and other necessary information can be found in the housing company-specific privacy policy.

Sources of information in the registers

Personal data is mainly obtained from the data subject themselves when they move into the building, by telephone, post, email, or similar means. In addition, information that can be linked to a person is collected when they log in to the housing company’s website and when they use it. To ensure that the information is up to date, we update it from official sources or other service providers.

Disclosure of information

Personal data is disclosed to the official representatives of the housing company to enable them to perform their duties, as well as to service providers used by the housing company, such as maintenance and collection agencies. In addition, data may be disclosed to residents or shareholders of the building as required by law, as well as to authorities that submit a legally based request for information.

All personal data is processed with respect for the privacy of the persons listed in the register and in compliance with legislation.

Data retention

Personal data processed by Fluxio Isännöinti Oy is stored in a secure environment and is only used by employees of the property management company on their secure workstations, which employees can log into with their personal user IDs. In practice, personal data may be located on the servers or devices of external service providers in order to ensure an adequate level of data security.

Paper documents are stored in a locked room and access to them is restricted to persons who are authorized to handle the information.

We store personal data in our customer register for as long as the resident/shareholder lives in the housing company or the housing company is a customer of our property management company. After this, we only store the data for as long and to the extent necessary for good service, invoicing, debt collection, and legal measures.

Rights of the data subject

We protect the rights of all registered persons in accordance with applicable data protection legislation.
